Authorized User Training

Introduction

This training is for staff who have been assigned to manage the records being stored at the State Records Center (SRC) on behalf of their department. These staff members are also known as Authorized Users.

As state government employees, we have certain responsibilities to save, organize, and describe records that might be requested in order to support public transparency and accountability. UW-Madison is a huge institution, and we produce a lot of records, across a wide variety of media—paper documents, electronic files, photos, audio and video recordings—it can be overwhelming! The Records Management Program, located within the UW Archives, provides leadership and coordination for managing all of these records, and the State Records Center, or SRC, helps by providing a physical space to store some of these records offsite. The SRC uses an online inventory system, called Versatile, to help employees track what is stored at the SRC, for how long, and when records can be securely disposed of. Authorized Users play an important role in this system as the people who help identify what records should be stored at the SRC for their unit, describe those records so that someone else could understand what they are, use policies called records retention schedules to determine how long they need to be saved, and serve as a critical liaison between the SRC, the Records Management Program and their units or departments. The SRC, Records Management Program and Authorized Users work together to transform a monumental task— managing and describing the records that UW-Madison produces—into a systematic and relatively simple process. By learning more about how the SRC works, you are taking an important step to support public transparency and accountability at UW-Madison.

The information in this training will help Authorized Users understand their roles and responsibilities and provide guidance on understanding records and how to manage them appropriately using the State Records Center.
